AI Search v3, Structured KB Uploads & Bot Reliability

The knowledge base search engine has been upgraded to Azure AI Search v3, bringing faster indexing, better relevance ranking, and support for exact keyword and boolean queries. Document uploads now require section assignment so the AI always knows what it's reading. A new built-in bug reporter makes issue resolution faster, and the Teams bot no longer gets stuck in the lobby.

Smarter Document Search

Why we updated this

The previous search engine relied solely on semantic similarity, which could miss precise structured references — resolution numbers, exact party names, formal dates.

How it works now

The AI search engine powering your knowledge bases has been upgraded to Azure AI Search v3. Documents are indexed faster, relevance ranking is more accurate, and you can now search by exact keywords or phrases (e.g., 'Resolution 2026-03' or 'dividend AND approval') — not just semantic similarity.

What to do

No action needed. Documents will be re-indexed automatically. Search results may rank differently and will be more accurate.

Structured Knowledge Base Uploads

Why we updated this

When uploading files, there was no way to indicate what type each document was. The AI had to infer context from content alone, which introduced uncertainty.

How it works now

When uploading files to a knowledge base, you can now assign each document directly to the right category (e.g., Board Pack, Entity Information). The system validates that all required document types are tagged before minutes can be generated.

What to do

New KBs will require document type tags before minutes generation. Existing knowledge bases are unaffected. Assign types on your next upload session.

Built-in Bug Reporter

Why we updated this

Reporting an issue required users to describe the problem manually with no diagnostic context, slowing down resolution.

How it works now

A new 'Need Help?' button is available in the dashboard and meeting views. With one click, it packages all relevant logs and diagnostic information into a downloadable file — making it significantly faster to report and resolve any issues.

What to do

Optional — no workflow change required. Use the 'Need Help?' button in the dashboard or meeting views if you encounter any issues.

Cleaner Calendar Access

Why we updated this

Team admins could previously view calendars across the entire organisation, beyond the scope of their own team.

How it works now

Team admins can now only view calendars belonging to members of their own team, giving organisations tighter control over who sees whose meeting calendar — aligned with your team structure.

What to do

If you previously accessed calendars outside your team, this access will now be restricted to your team members only.

Teams Bot: Lobby Bypass

Why we updated this

The Starlight meeting bot was sometimes getting stuck waiting in the Teams lobby, requiring manual admission from the meeting organiser. If no one let it in, meeting content was missed.

How it works now

The bot now automatically joins meetings without needing manual admission from the organiser, ensuring no meeting content is missed from the moment it starts.

What to do

Requires a new admin permission (OnlineMeetings.ReadWrite.All) on your Azure AD app. Your IT team may need to grant consent. Contact your Starlight account team if you need assistance.
